Use and Customize Views
Rally supplies a variety of view types. Views are a collection of like data that are arranged in a relevant display. Some views are standard static views while other views can be customized. Rally offers the following views:
You can view work items (also referred to as artifacts) using two main view types, the detail view and the summary page. Use the summary page to manage your work items, and the detail view to review all details of the individual work item.
Work item summary pages
A work item summary page provides the following:
- A summary listing of all work items for the tab selected.
- On most summary pages, there is an
menu used to perform multiple activities. The available options may vary based on the summary page displayed. - Inline edit a work item by double-clicking within the highlighted row.
- Various row action icons displayed on each row of the summary page that provide access to common actions.
- In some cases, Rally supplies predefined quick views, or saved queries, to easily assemble your work items into a meaningful display.
- Click the View drop-down to display the saved view selections. Further refine these views by using the filter and sort capabilities.
- Quickly locate a specific work item by entering its number directly into the ID text box.
- Use the following delimiters with a specific number to refine your ID search: <= , >= , = , < , > .
- A hyperlinked display of work items.
- Click any hyperlink for the work item in the summary page navigate to its detail view.
- Filter work items to be displayed based on values of the attributes.
- Sort work items in ascending or descending order by headings.
- If drag-and-drop ranking is enabled in your workspace, you can prioritize user stories and defects by dragging them up or down on the page.
Work item details
The work item detail view can provide any combination or all of the following options:
- A read-only view of the work item.
- An
button with multiple options that can be performed on the artifact.
- The
button options vary with the artifact displayed.
- The
- A sidebar containing a listing of all associated artifacts that are related to the current work item. Click any association link and go directly to a summary view of all associated work items. From this view you can continue to drill down into the detail of the associations while remaining in context of your original work item.
- Use the show
and hide
icons located in the sidebar to control the links display.
Quick views
In some cases, Rally supplies predefined quick views to easily assemble your work items into a meaningful display. Quick views are a collection of comprehensive queries and filters that can be selected to quickly present snapshots of your data in relation to significant criteria.
Quick views are on the following summary pages:
- User Stories from the Plan tab
- Tasks from the Track tab
- Defects from the Quality tab
- Test Cases from the Quality tab (requires the Rally Quality Manager module)
You can further refine these views by using the filter and sort capabilities.
Available quick views
User story quick views

Defect quick views

Custom views
Rally summary pages allow you to create custom views that filter and sort on your chosen criteria. This enables you to show only a select group of work items, rearrange columns, or remove items that are not applicable. Most fields that display with a custom view can also be edited with Rally's multi-edit capabilities.
Custom views are grouped into two categories:
- My views. These views are created by an individual user and are visible only to the user that created them.
- Shared views. These views are shared across the entire workspace and are visible to all users of the indicated workspace. Shared views are created, edited, and deleted by subscription or workspace administrators only.
The following Rally summary pages may be customized with a view:
- User Stories from the Plan tab
- Tasks from the Track tab
- Defects from the Quality tab
- Test Cases from the Quality tab (requires the Rally Quality Manager module)
Custom views include:
- Create custom views
- Copy custom views
- Edit and delete custom views
- Custom view filter parameters
- Custom view fields
Create custom views
To create a new custom view:- Select the
icon to the right of the Views drop-down. - On Create Custom View, complete the Name field with a unique value.
- Click the
button to activate the filter parameter fields.
You can build complex filters by adding multiple filter parameters to a single custom view.
- Select a single Sort Order for a selected attribute.
- Choose whether to sort in Ascending or Descending order.
- In the Display Columns section, specify which columns should be displayed and in what order.
- Use the side arrows to move columns between the Available Columns and the Selected Columns boxes.
- Use the up and down arrows to change the order of the Selected Columns.
- Select the Set as Default field to make this view your default view.
- Select the Shared View field to make this view available to other users.
- Click Save.
Copy custom views
You can make a copy of an existing custom view to create more views with similar filter criteria. This function can also be used to create a personal copy of a shared custom view.
- Select the view you want to copy in the Views drop-down.
- Click the
icon. - On Create Custom View, edit the name, filter conditions, and display settings as necessary.
- Click Save.
Edit and delete custom views
Next to the
icon for creating a custom view are two additional icons:
- The
icon opens an editor window to modify the currently selected custom view. - The
icon deletes the currently selected custom view.
Custom view filter parameters
To add a new filter expression, click the
button. Use the following fields to configure your filters:
- Show results when: Select a value to set the boundaries for your filter display. You may select to display your data when all or any of the conditions are met, or select CUSTOM for further display boundary options. Custom allows you to create complex queries. See custom filtering tips for more information.
- Column: Select an attribute value that you want to filter. This list reflects the attributes for the work item for which you are creating a custom view. Any custom attributes that have been defined for this work item type are also included in the list.
- Operators: Operators apply your filters to the data and return only those records that match your criteria. The operator types available depend on the type of attribute you selected in the Column field. The following operators are available:

- Value: The value action reflects the type of column that has been selected:

Continue to click the
button until you have defined all expressions for your custom view.
Custom filtering tips
Custom filtering allows you to string together multiple query criteria and apply operators in a preferred order of execution. Rally supports Boolean AND/OR as custom conditions. Rally does not currently support the NOT operator. The custom conditions apply to your query criteria after the criteria is defined. Group your criteria according to the operator order entered in the Custom Condition Grouping field.
The Show results when field is activated when two or more conditions have been added. Click the
button to add query conditions. As soon as there are two conditions, you can select one of the following conditional operator options:
Select the statement that represents the intent of your query:
- ALL of the conditions below are met: Performs a Boolean AND of the listed conditions.
- ANY of the conditions below are met: Performs a Boolean OR of the listed conditions.
- CUSTOM: String multiple Boolean operators and conditions together for complex queries.
If you select CUSTOM, the Custom Condition Group field displays. Use this field to enter Boolean conditions.
Grouping examples

The result displays all defects with the API tag that are owned by Joe, or all defects with a Severity field entry of Crash/Data Loss. This allows Joe to locate his defects that he needs to address with the API tag and also a listing of high severity defects which Joe can also help resolve.
| 1 AND (2 OR 3) | Using the same custom conditions shown above, use this custom condition syntax to return a result displaying all defects that Joe owns that are either tagged API or are of a Crash/Data Loss severity. |
| (1 AND 2) OR (3 AND 4) | This query returns all records that match the first two filter conditions or the final two conditions. Apply the following criteria to a user story custom view:

The resulting display lists all user stories with the API tag that are in a Defined state, or all user stories with the Integrations tag that are in a Completed state.
| (1 OR 2 OR 3) AND 4 | This query returns all records that match any of the first three values in addition to the fourth condition. Apply this criteria to a task custom view:

The resulting display lists all tasks in Project A, B or C that are owned by Joe. This query is helpful for tracking work across multiple projects.
Custom view fields

Expand the categories to view the details of the records. This field is only available for task and defect custom views. |
| Display Columns | Configure the display of your custom view by selecting which columns should be displayed and in what order. Highlight the column you wish to display in the Available Columns list box and click the side arrow to move the column to the Selected Columns list box. To change the order of your display highlight a column in the Selected Columns list box and click the up or down arrow. |
| Set as Default | Select this field to save your custom view as the default view to be displayed each time you access the tab. A user-created custom view (My View) that is set as the default view will override any shared view that is set as the default view. |
| Shared View | Select this field to indicate this custom view is to be shared and viewed across the entire workspace. All workspace users will have read-only access to this custom view. Workspace administrators can edit, create, or delete workspace views. |
